Invoices

The Invoices sidebar entry shows draft and finalized invoices generated from your Accounts. Available on Pro and Enterprise plans.

How Invoices Are Built

Each Account generates an invoice period row per cadence (monthly by default). When the period closes, Clockwise computes:

  • T&M lines — Billable hours × the rate-card rate active during the period, grouped by CLIN and LCAT.
  • FFP lines — The fixed amount configured on each FFP CLIN for that period.
  • You can review and edit each line before the invoice is finalized, then export to PDF/CSV/QuickBooks for the customer.

    Approval Status of Billed Hours

    Invoices bill all non-deleted T&M hours for the period, regardless of approval status — Clockwise doesn't wait for approvals to compute the numbers. To keep that honest, the invoice detail page (both draft and issued) shows a banner whenever some of the billed hours sit on timesheets that aren't approved yet, with a drill-in dialog listing exactly which hours are still Draft, Submitted, or otherwise unapproved. The hours CSV/XLSX exports include a Status column for the same reason.

    The flag is computed live from current timesheet state, so it self-clears once every underlying timesheet is approved — treat it as a "chase these approvals before you send" nudge, not a hold on invoicing.

    Workflow

  • Chase approvals — Hours flow into invoice lines whether or not they're approved, so use the not-yet-approved banner to close out any stragglers before you finalize.
  • Open the Invoices page — Each open invoice period shows totals by account.
  • Review — Click into a period to see the per-CLIN/LCAT breakdown. Adjust amounts if needed.
  • Finalize and export — Lock the period and download the invoice in your chosen format.
  • Visibility

    Admins, owners, and finance can all open the Invoices page. Regular users — including account managers — cannot see invoices.
