Setting Up Your Company

If you're a new admin, follow this checklist to get Clockwise configured before your team starts logging time. The Dashboard will show your setup progress until all steps are complete.

Company Information

Go to Settings > Company and fill in:

  • Company name — Displayed throughout the app and in reports.
  • URL slug — The unique identifier in your Clockwise URL.
  • Logo — Optional, but recommended for a polished experience.
  • Work Schedule

    Go to Settings > Company > Work Schedule Defaults and configure:

  • Pay period (Weekly, Bi-weekly, Semi-monthly, or Monthly)
  • Week starts on (Sunday or Monday)
  • Default daily hours (typically 8)
  • Minimum hours per timesheet (optional — blocks employees from submitting a sheet with too few hours)
  • These settings must be correct before timesheets are created. See Work Schedule Defaults for a full explanation.

    Leave Types

    Go to Settings > Leave Types. Click Add Common Types to bulk-create standard leave categories (PTO, Sick Leave, etc.), or add your own. Each leave type automatically creates a matching charge code.

    Accounts (Pro plan)

    If you're on the Pro plan and bill against contracts, set up your Accounts first under Settings → Accounts. Each account holds the customer, contract number, periods of performance (POPs), CLINs, LCATs, and rate cards (T&M or FFP). Charge codes can then point at an account so hours roll into invoicing.     Charge Codes

    Go to Settings → Charge Codes and create codes for your contracts, projects, and internal categories. You can organize them hierarchically (parent → child). Mark codes as Global if all employees should see them, or assign them per user later. Link direct codes to an Account so hours roll into invoices. See Managing Charge Codes for details.

    Holidays

    Go to Settings → Holidays and add your company's non-working days. Click Add US Holidays to import federal holidays automatically. See Managing Holidays for details.

    Add Users

    Go to Settings → Users. Add employees one at a time or bulk-import via CSV. When you create a user you can send them an invitation email. See Managing Users for details.

    Create Groups & Assign Approvers

    Go to Settings → Groups and create approval groups (e.g., by team or department). Add members and designate approvers so submitted timesheets route to the right people. See Groups & Approvers for details.

    Assign Charge Codes to Users

    If any of your charge codes are not marked Global, go to each user's detail page and assign the relevant codes. You can set optional start/end dates per assignment.

    Set Leave Balances

    If you track leave balances, go to Settings → Users → (user) → Leave Balances and enter each employee's annual allocations. See Leave Types & Balances for details.

    Setup Review

    When you finish a step the Setup Review page (linked from the Dashboard) shows what's done and what still needs attention. Once everything is green you can mark setup complete and the checklist disappears from the Dashboard.

    Your team can now log in, fill out timesheets, and request time off.
