Contractor Managers

A contractor manager is a subcontractor company's own lead, given read-only visibility into the hours their people reported. If you've been named one, a Team Hours entry appears in your sidebar.

What a Contractor Manager Can See

Only your own company's people, and only their hours:

  • Your team roster — name, title, email
  • Each person's timesheets: period, total hours, and status (Draft / Submitted / Approved / Rejected)
  • That's the whole list. A contractor manager never sees rates, labor categories, contract or CLIN details, invoices, other subcontractors, or anyone on the prime's staff.

    What a Contractor Manager Cannot Do

    The grant is read-only. Contractor managers cannot enter, edit, or submit time for anyone, and cannot approve timesheets — approvals stay with the supervisor who has direct knowledge of the work, which is what DCAA expects. Use Team Hours to catch missing or late time and raise it with your people before the prime's deadline.

    For Admins: Granting Access

    Open Settings → Contractors, click the subcontractor company, and use the Contractor Managers card to add someone.

    A person can only be made a manager of the company they already belong to — the picker offers only that firm's assigned people, and the API refuses anything else. That rule is what makes it impossible to accidentally show one subcontractor another's hours.

    Because of that, the grant is cleared automatically when someone leaves the firm: reassigning them to a different subcontractor company, or changing their employment type away from subcontractor, removes their access. Deactivated users can't be granted access at all.

    Your own W-2 staff don't need this — anyone at Finance level or above already sees every timesheet, and managers and group approvers see their own people.

    Exempting a Lead From Timesheets

    A contractor manager who only watches their team — and never charges time themselves — can be marked Exempt from timesheets on their User page (Work details). That hides My Timesheet, My Timesheets, My Analytics and My Timeliness for them, stops missing-time and unsubmitted-timesheet reminders, and drops them from the late/missing timesheet reports so they don't sit there permanently overdue.

    It's a general setting, not specific to subcontractors — it fits anyone whose time isn't tracked in Clockwise, such as a non-billable executive.

    The setting is advisory: it removes the obligation, not the ability. An admin can still correct or create a timesheet for an exempt user if one is ever needed.

    Before You Turn It On

    Contractor managers see the hours, not what they were booked against. Even so, it's worth reviewing your charge code descriptions before granting access to a real subcontractor: if a description spells out a labor category or contract detail you'd rather a subcontractor not read, rename it first.
