Privacy Policy

Clockwise ("we", "us") provides DCAA-compliant time tracking software for government contractors. This Privacy Policy explains what information we collect, how we use it, and the choices you have.

Information we collect

  • Account information: name, email, employer, and role within your organization.
  • Authentication data: identity tokens issued by your single-sign-on provider; we never see your SSO password.
  • Timekeeping data: time entries, approvals, charge codes, leave requests, and audit-trail events you create in the product.
  • Usage data: pages visited, actions taken, and basic device/browser metadata used to operate and secure the service.

How we use information

  • To deliver the timesheet, approvals, leave, and invoicing features your organization has subscribed to.
  • To meet DCAA record-keeping requirements on your behalf, including append-only audit trails.
  • To secure the service, prevent abuse, and respond to support requests.
  • To bill your organization for use of the service.

How we share information

We do not sell personal information. We share data only with the subprocessors required to run the service (cloud hosting, email delivery, payment processing) and with your own organization's administrators. We may disclose information when required by law or to protect the rights and safety of our users.

Data retention

Timekeeping records are retained for the period required by federal contract record-keeping rules (typically a minimum of three years after final payment), or longer if your organization has configured a longer retention policy. Account data is retained while your subscription is active and for a short wind-down period afterward.

Security

All data is encrypted in transit (TLS) and at rest. Access is gated by SSO and role-based permissions. Audit-trail events are append-only: every change is attributed to an actor and timestamped, and nothing in the application edits or deletes an audit record.

Your choices

You can request access to, correction of, or deletion of personal information held about you, subject to the record-retention obligations described above. Contact your organization's administrator first; they can also reach out to us on your behalf.
